As an Executive Assistant to the Chief Digital Media and Marketing Officer, you will play a pivotal role as the initial point of contact for team members and external parties, ensuring seamless administrative support while aligning with organizational policies and objectives.
Key Responsibilities
- Deliver comprehensive administrative assistance to a remote-based executive team, including the preparation and submission of expense reports, scheduling of meetings, and management of calendars.
- Organize travel logistics, including booking flights, accommodations, and transportation.
- Attend meetings with the Executive Vice President (EVP) to document action items and monitor follow-ups using Asana.
- Collaborate with fellow Executive Assistants to effectively coordinate travel and meetings.
- Maintain familiarity with various support systems such as Sharepoint, Marketing, DHx, and Technology.
- Assist in crafting presentations for Board Meetings and significant speaking engagements by the EVP.
- Act as a liaison with third-party teams focused on platform development and technology, facilitating communication between the EVP and development teams.
- Record meeting minutes for development groups and manage task assignments accordingly.
- Review the monthly General Ledger from accounting and organize budget reviews with direct reports.
- Facilitate communication between the EVP and members concerning content creation initiatives, including podcasts and social events.
- Coordinate schedules and support post-production tasks relevant to artifact review and dissemination.
- Enhance team relations by ensuring effective communication among all team members.
- Organize quarterly meetings for direct reports and assist in audience acquisition projects related to media initiatives.
- Evaluate content for precision, including speaker credentials, sponsor lists, web copy, and social media graphics.
- Identify gaps in target audience lists for acquisition efforts.
- Support content posting and scheduling as required.
- Undertake additional responsibilities as assigned.
Required Skills
- Proven proficiency in MS Outlook, MS Word, and MS Excel.
- Strong editing and proofreading capabilities are advantageous.
- Exceptional written and verbal communication skills with meticulous attention to detail.
- Outstanding organizational abilities and the capacity to manage multiple projects concurrently.
- Effective interpersonal skills to cultivate relationships with both internal teams and external stakeholders.
- Ability to juggle numerous tasks and assignments while adhering to deadlines.
- Capability to work successfully in a collaborative environment, often with close supervision.
Qualifications
- A Bachelor’s Degree or equivalent professional experience is essential.
- A minimum of five years of experience in an office environment, demonstrating capacity to communicate with external parties and support multiple leaders.
- Professional maturity, discretion, and sound judgment are required.
